Hi Gary!

Your timing is impeccable!!! Are you a psychic friend?!

I've been dickering with the CHIFOO board about what we can afford to offer
you. And we settled on airfare, a night at a modest hotel, meals, and an
auto for the day. Do you charge a speaking fee?

Also, I've talked with the Puget Sound chapter and they are still
considering whether they might be able to fund a next-night visit to Seattle
for you. That would make it into a three-legged trip. Let me know your
thoughts about such an excursion.

Also, we might be able to cook something up with the Oregon Graduate
Institute (www.ogi.com). They have two HF sections in their comp sci
department that host presentations by itinerant educators (they have a
pretty good publicity machine, too).

Finally, we could try to cook up some other possibilities for you, too.
Several of the high-tech companies in the area might be interested in
re-hosting your talk to their people. Let me know your thoughts.

CHIFOO meets monthly on the third Tuesday. We have an auditorium that seats
about 100 with full T1 audio-visual equipment. If we can figure out a good
spin to attract a more general audience we can do newspaper and radio
publicity and post to the appropriate boards and lists here in the area.
When we anticipate a larger attendance, we have been known to hire halls,
too, e.g., for Alan Cooper, Don Norman, and Kevin Mullet.

Let me know what month in '00 you might like to make the trip and I'll
pencil you in. That is to say, I still don't have the schedule filled yet.
Alas...

Tom Cocklin, HP, our president (and good guy), has the money in hand. If
you'll agree to make the trip, Tom will work out the expense details with
you.

Thanks very much, Gary, for remembering us! It only appeared we had
forgotten you!

Cheers!

Hi Gary!

I'm working on March 14 as we speak!

If you have an OCLC talk, I can line up a whole grundle full of librarians
for a Monday talk. And if there's some way to stir in your adventures
creating the HCI bibliography we could get the HCI folks into it, too.

I've had no word from the Puget Sound folks, but I think we can spring for
an extra hundred bucks so you can swing through Seattle for the weekend.
You'd be on your own for transportation, food, and shelter up there,
however.

Let me know how you'd like to proceed!

Happy Thanksgiving!

Hi Gary!

I've been talking with Mary Devlin, current director of PORTALS, the
regional library network,, about jointly sponsoring one of your talks.
We've been talking about a topic that might be of interest to both the
PORTALS folks - a large contingent of on-line librarians from both the
public and private sectors - and secondarily the CHIFOO crowd - mostly
industry with a few educators. Again, we were thinking about fielding you
for this talk on the Monday of your trip.

Mary's response is attached.

Since Monday would be aimed at the librarians, it might make most sense if
you and Mary corresponded to hone in on a topic.

Meanwhile, CHIFOO is still game to fund the extra $75-$100 to fly you
through Seattle for the prior weekend if you want.

Cheers!

Hello David,

Yes, we'd very much like to have Gary do a program while he's here
that'd be of interest to librarians as well as your constituents.

Some topic ideas (and I'm sure there are more):

OCLC's direction (as related to Gary's R&D / technological direction)

Something about Web design / human factors in Web design/use

Those are a couple of different ideas. Do you have anything in
particular in mind? Does Gary?

Thanks!

Mary

Hello Gary,

As David told you in a email in December, we (PORTALS) would be
delighted for you to give a talk with a focus of interest to librarians
when you're in Portland for CHIFOO in March.

I know David sent you a couple of preliminary ideas for possible
topics. Here are those, and a few more that have been suggested:

Web design / human factors

OCLC's technological direction

Help Desk issues

Remote reference centers

Customer call centers

Any of these -- or I'm sure others you'd suggest -- would be interesting
and useful to our audience.

Please let me know what suggestions you have.

We're looking forward to March and your visit.

Mary

> Hello Gary,

Hi Mary,

I am just digging out from the holidays,
but should be more prompt about answering email.

I am excited although apprehensive about speaking
to a library group. I will probably learn more
than I teach, at least about library issues.

I am reluctant to talk generally about anything related to OCLC
directions, although I can talk about what we have done with
FirstSearch, particularly on the new version.

First, some background on me. I've been at OCLC for three and a half
years, working almost exclusively on FirstSearch, and primarily on
the FirstSearch user interface. My title is consulting research
scientist (not director of OCLC, as I am listed on the CHIFOO site).
For my talk to CHIFOO, I plan on talking about general design
issues for a UI for many platforms, user languages, user levels, etc.

For PORTALS, I think it would be appropriate to focus on library
issues in FirstSearch, such as:
 * UI design for librarians vs. patrons (basic vs. expert search,
search aids such as index and thesaurus browsing, etc.)
 * user behavior -- what do users really do in a search system
Basically, I would contrast the demands for features by professional
searchers (who also tend to make acquisition decisions) and the
relative utility of those features for untrained patrons.
These are potentially controversial, and could generate discussion.

Perhaps also of interest is how we actually do UI development
at OCLC, at least for FirstSearch. It's an ongoing collaboration
of marketing, development, usability testing, graphic design, and
documentation, and user support. This could be worked in with
the above, or could be a focus.

For any of the topics below, I could field questions,
but I've added very brief comments on each.

>
>

Too general.

> OCLC's technological direction

Too politically hot for me.

> Help Desk issues

Possible.

> Remote reference centers

Possible, although I am not sure what it means.

> Customer call centers

Not sure how this differs from Help Desk, so maybe I should not
try to talk about it.

So, I could field questions on any topics, but I could prepare a
talk like:

Web-Based Bibliographic and Full Text Retrieval -
Which Features are Used by Which Users?

The OCLC FirstSearch service provides users with a uniform interface
to over 85 databases with hundreds of millions of bibliographic
records, millions of which with full text online. Although
designed as an end user system for library patrons, FirstSearch
includes many features for more sophisticated searchers:
 * Boolean queries, proximity, truncation, plurals, wildcards
 * term and phrase indexes, multiple index search, index browsing
 * thesaurus browsing, relevance ranking, sorting
AT OCLC we test the usability of all major features in FirstSearch,
and while most features are usable by novice users, most searches
are simple, often involving one or two keywords and few if any features.
In this talk I will contrast the features requested for search systems
with those actually used by most users, and suggest ways that search
systems can be made more effective for average library patrons.

Thanks for your email, Gary. I sure do know how it gets around the
holidays.

I very much like your suggestion to focus on library issues in
FirstSearch, as you suggest:

> * UI design for librarians vs. patrons (basic vs. expert search,
> search aids such as index and thesaurus browsing, etc.)
> * user behavior -- what do users really do in a search system
> Basically, I would contrast the demands for features by professional

You note that:

> In this talk I will contrast the features requested for search systems
> with those actually used by most users, and suggest ways that search
> systems can be made more effective for average library patrons.

User behavior is an area which we need to pay much more attention to (in
my opinion) and I think that this would generate a lot of interest and
discussion.

And working in something about how you do UI development for FirstSearch
would be interesting too. I bet that most of us have no idea how much
goes into it.

I've run your suggestion by the PORTALS Exec board and they like it too.

AS for the list of ideas, I agree with your comments. I think what you
suggest is the way to go. It sounds like it's something you'd be
interested in doing and comfortable doing, and it sure is of interest to
our group.

Would you give me a title please (perhaps "Web-Based Bibliographic and
Full Text Retrieval -
Which Features are Used by Which Users?" is the one you want to use,
perhaps another one). And would you like to give me something to use in
our advertising, or are you comfortable with me developing it based on
what you've sent me? (I'd run it by you before sending anything out, of
course.)

Have you (and David) a sense yet of whether this will be an afternoon or
evening session on 3/13? If you have no strong preference I think our
group would prefer afternoon, something ending by 5 PM anyway.

How much time should we plan for? A couple of hours, with refreshments,
your talk, questions and discussion? A bit longer?

Do you have a size limit on the group?

We're so pleased you're coming and speaking to PORTALS members.

Thanks!

Mary

Hi Mary!

Looks like you and Gary have zoomed in on a topic. So it's time to work out
the particulars!

I'm hoping you can come up with a suitable meeting room for the Monday
afternoon talk. I've got the PCC Workforce Training Center lined up for
Gary's Tuesday evening talk (to which PORTALS members and friends will be
invited!).

We use out-of-town speakers to raise a bit of money to fund other activities
and suggest CHIFOO and PORTALS share revenues from a small admission charge
of $5 General, $3 members/students, for example, or maybe less. We would
like to make CHIFOO memberships available ($10) and suggest that PORTALS
does the same (if you have paid, open membership). We can talk about how
much of a "membership admission" we should split.

CHIFOO presentations are refreshment-free, but we usually gather before (in
this case for lunch) or after (for beers) with our speaker and anyone who
wants to join in. How do you usually work your events?

I'm hoping we can make both of Gary's talks open to the public. To that
end, I want to advertise to our professional society network and place
announcements in places like The Oregonian's TechNW section. What do you
think?

Write or call soon!

Thanks very much!

ADVISE TO INTERNATIONAL PASSENGER ON LIMITATION OF LIABILITY
Passengers on a journey involving an ultimate destination or a stop in a
country other than the country of origin are advised that the provisions of
a treaty known as the Warsaw Convention may be applicable to the entire
journey, including any portion entirely within the country of origin or
destination. For such passengers on a journey to, from, or with an agreed
stopping place in the United States of America, the Convention and special
contracts of carriage embodied in applicable tariffs provide that the
liability of certain carriers, parties to such special contracts, for death
of or personal injury to passengers is limited in most cases to proven
damages not to exceed U.S. $75,000 per passenger, and that this liability up
to such limit shall not depend on negligence on the part of the carrier.
The limit of liability of U.S. $75,000 above is inclusive of legal fees and
costs except that in case of a claim brought in a state where provision is
made for separate award of legal fees and costs, the limit shall be the sum
of U.S. $58,000 exclusive of legal fees and costs. For such passengers
traveling by a carrier not a party to such special contracts or on a journey
not to, from, or having an agreed stopping place in the United States of
America, liability of the carrier for death or personal injury to passengers
is limited in most cases to approximately U.S. $10,000 or U.S. $20,000.
The names of carriers, parties to such special contracts, are available at
all ticket offices of such carriers and may be examined on request.
Additional protection can usually be obtained by purchasing insurance from a
private company. Such insurance is not affected by any limitation of the
carrier's liability under the Warsaw Convention or such special contracts of
carriage. For further information please consult your airline or insurance
company representative.

NOTICE OF BAGGAGE LIABILITY
Liability for loss, delay, or damage to baggage is limited unless a higher
value is declared in advance and additional chares are paid. For most
international travel (including domestic portions of international journeys)
the liability limit is approximately $9.07 per pound for checked baggage and
$400 per passenger for unchecked baggage. For travel wholly between U.S.
points federal rules require any limit on an airline's baggage liability to
be at least $1250 per passenger. Excess valuation may be declared on
certain types of articles. Some carriers assume no liability for fragile,
valuable or perishable articles. Further information may be obtained from
the carrier.

CARRIER RESERVES THE RIGHT TO REFUSE CARRIAGE TO ANY PERSON WHO HAS ACQUIRED
A TICKET IN VIOLATION OF APPLICABLE LAW OR CARRIER''S TARIFFS, RULES OR
REGULATIONS
SUBJECT TO TARIFF REGULATIONS

NOTICE OF INCORPORATED TERMS
Effective January 1, 1983, this notice forms part of the conditions of
contract between the airline and the passenger. If there is any
inconsistency between the incorporated terms described below and the terms
and conditions in the passenger's ticket, these incorporated terms govern.
Air transportation to be provided between points in the U.S.
(including its overseas territories and possessions) is subject to the
individual terms of the transporting air carriers, which are herein
incorporated by reference and made part of the contract of carriage.
Foreign air transportation is governed by applicable tariffs on file with
the U.S. and other governments. Incorporated terms may include, but are not
restricted to:
1. Limits on liability for personal injury or death.
2. Limits on liability for baggage, including fragile or perishable goods,
and availability of excess valuation coverage.
3. Claims restrictions, including time periods in which passengers must file
a claim or bring an action against the air carrier.
4. Rights of the air carrier to change terms of the contract.
5. Rules on reconfirmation of reservations, check-in times, and refusal to
carry.
6. Rights of the air carrier and limits on liability for delay or failure to
perform service, including schedule changes, substitution of alternate air
carriers or aircraft and rerouting.
You can obtain additional information on items 1 and 6 above at any U.S.
location where the transporting air carrier's tickets are sold.
You have the right to inspect the full text of each transporting air
carrier's terms at its airport and city ticket offices. You also have the
right, upon request, to receive free of charge the full text of the
applicable terms incorporated by reference from each of the transporting air
carriers. Information on ordering the full text of each air carrier's terms
is available at any U.S. location where the air carrier's tickets are sold.

NOTICE-OVERBOOKING OF FLIGHTS
Airline flights may be overbooked, and there is a slight chance that
a seat will not be available on a flight for which a person has a confirmed
reservation. If the flight is overbooked, no one will be denied a seat
until airline personnel first ask for volunteers willing to give up their
reservation in exchange for a payment of the airline's choosing. If there
are not enough volunteers the airline will deny boarding to other persons in
accordance with its particular boarding priority. With few exceptions
persons denied boarding involuntarily are entitled to compensation. The
complete rules for the payment of compensation and each airline's boarding
priorities are available at all airport ticket counters and boarding
locations. Some airlines do not apply these consumer protections to travel
from some foreign countries, although other consumer protections may be
available. Check with the airline or your travel agent.

RECONFIRMATION NOTICE
Some international carriers require reconfirmation of your reservations.
Contact the transporting air carrier for the applicable requirements.

NOTICE
If the passenger's journey involves an ultimate destination or stop in a
country other than the country of departure the Warsaw Convention may be
applicable and the Convention governs and in most cases limits the liability
of carriers for death or personal injury and in respect of loss of or damage
to baggage. Se also notices headed "Advise to International Passengers on
Limitation of Liability" and "Notice of Baggage Liability Limitations"

Hello Gary,

I've asked about the degree of reliability of the equipment in the
Multnomah County Library US Bank Room, where you'll be speaking.

Rivkah says she's at 90+% sure it'll be fine for you to use the Web for
your presentation. She's found the Web connection from there to be very
good. Of course it'll still be a good idea to have a back-up plan,
whether PowerPoint and/or overheads.

The library will have a PC for you to use.

Looking forward to it.

Mary

WEB-BASED BIBLIOGRAPHIC AND FULL TEXT RETRIEVAL:
WHICH FEATURES / WHICH USERS?

Gary Perlman, OCLC Research Scientist

What do users really do in a search system? How do different groups of
users (librarians v. library users, for example) behave differently?
How does a user interface design affect searching? What are the
contrasting user interface needs of librarians and library users? What
sorts of user interface options requested by librarians are actually
used by end-users, and which are not?

Gary Perlman will explore these questions with us, and will contrast the
features requested for search systems with those actually used by most
users. He'll suggest ways that search systems can be made more
effective for library users.

You can expect to hear some challenging ideas, and to take part in a
lively, cross-disciplinary discussion. This program is jointly
sponsored with CAIFOO. We'll have colleagues from the human factors
design / user interface community to talk with and learn from.

This is an exceptional opportunity. Please join us on March 13th!

Gary,

What would you like in the way of equipment for your talk (Monday, 3/13,
at Multnomah County Library)? Would you like a network connection and
projection stuff? What would be helpful?

I'm assuming that rows of chairs will work fine. Is that OK with you?
We'll be able to get 40-50 people in that way.

Will you have handouts? If so, send me a master in advance and I'll
make copies.

Thanks.

Mary

Hi Gary!

Looks like Mary got the jump on me!

I, too, will need to know your equipment needs for your Tuesday evening
monologue.

We will be using a pretty good auditorium. It has rear screen slide &
computer projection (800x600) from a VHS (15-pin connector), T1 network
access, VHS, cassette, and plenty of room to tap dance. The room seats 90
in ampitheater format. Overhead transparencies don't seem to work very
well, however, when projected on the frosted-glass rear-projection screen.

Please advise!

Hi Gary!

I have reserved a room for you at our Mallory Hotel,
http://www.malloryhotel.com, in downtown Portland. They're expecting you on
Sunday afternoon and will let you stay through Tuesday night.

My credit card is holding the room. Tom Cocklin and I will figure out
whether we want you or me to pay and then be reimbursed.

Be sure to rent yourself an auto if you want. The Mallory has a parking
garage. But it is also exactly next to our light-rail line and the downtown
"fareless square," in case you're a mass transit type.

Let me know your flight arrangements and I'll come out to meet you.

Cheers!

Hi Gary!

Thanks for your itinerary!

I will fetch you from the airport to your hotel on Sunday night, so go ahead
and delete the car.

You will be within walking distance of the Monday presentation and we'll
chauffer you to the Tuesday night affair. It will take about 15-20 minutes
to get from the Mallory to the airport on Wednesday morning, so just order
up a cab for o'dark-thirty!

I've sent a press kit out to the major and minor newspapers in the area. So
far, no one has nibbled at the chance of having you visit during the day.
Should something happen on that front, I will arrange transportation for
you.

Cheers!

Hi David,

I will arrive at 6:30pm on Sunday. I reserved a car
and planned to pick it up at the airport.
I did not plan to do much sight-seeing by car,
so I could just cancel it and choose light rail.
Assuming I would have a way to get to the talks,
I would be just as happy without a rental car.

Confirming that, I will cancel the car and
hope to see you at the airport.

Here are my flight details. Pretty good fare,
considering that my wife just paid $1200 to fly to England.

On the handouts front, I am done with my talk for POTALS,
but need to make PowerPoint slides. I plan to send
those to Mary on Friday at the latest. I am almost
done with my talk for CHIFOO, but also plan to make
PP slides, which may need to just carry with me
(giving you a day or so to make copies of handouts).
Naturally, I have decided to try to get a month's
worth of work done this week because of artificial deadlines.

Gary

Hi Gary and Mary (sorry, couldn't resist;*)

We just used the network connection for presentations earlier this week
and it worked like a charm.

I'll get there in plenty of time to link to your presentation and run
through the slides so that they're in memory cache. Barring network
outages, I foresee no problems with the connection.

See you both on Monday.

David -

I talked with Sue and we would both like to meet with Gary on Tuesday.

I tried calling your number (284-0164), but it just rang and rang.

We propose a 10 to 12 time slot. We could take him to NW Portland for
coffee and conversation.

Sue has a lunch meeting, but if Gary's schedule permits and he wants to,
I'd like to take him to lunch (probably NW 23rd area).

It was good to talk with you yesterday.

Thanks for giving us a call,

Gene

Thank you both very much for arranging for me to
come out to Portland to talk. I had a great time
and I hope you feel the talks went well. I guess
Mary will have some feedback summary for us.
I hope the talks were beneficial, and I hope
the cooperative event increases the interaction
between CHIFOO and Portals.

David asked if there was someone to send a note
of thanks, so I would appreciate it if you would
send one to:
	Michael Teets, Director
	References Services Development
	OCLC Online Computer Library Center
	Dublin, OH 43107
OCLC places extremely high emphasis on
letters from libraries thanking OCLC
employees for special consideration.

Thanks again,

Gary

PS: David, I'll send off the receipts tomorrow

PPS: I'll send you both URLs for the papers in the next week or so.

1. What did you expect to learn from this workshop? and
2. Did the workshop meet your expectations? (elaborate...)

The workshop was on target.
Yes.

New ways to think about search features and how people search.
Yes, although there wasn't much that was surprising to me.

Expected presentation of FirstSearch featauers and their use by library
patrons.
Yes.

Basic overview of the factors contributing to organization presentation
- FirstSearch information
Yes. but more technical information / elaboration on the construction
of usability studies.

What was discussed, but _more_
About 50% - let's see FirstSearch in _action_ - what features for
searching it now has. Session was supposed to be 2 hours -- where was
the rest of it? I might not have made a special trip here for 1 hour.

Issues and strategies from HCI perspective on web design.
Not exactly -- I thought the general topic would be HCI, perhaps with
FirstSearch as an example. (I got this impression from teh PORTALS
reminder announcement/email last week.) Instead it was about issues
considererd in the design of FirstSearch.

Better understanding of OCLC and FirstSearch
Yes. Historical perspective.

More about the OCLC system and priorities
It could have been more specific.

User interface for databases
Yes -- but info restricted to FirstSearch

How to make users happier when searching
Yes - look at the basics that th emajority of users can handle

1) To learn a bit about librarian vs end-user searching and
2) To get away from work
1)
2) Yes.

Search theory.
Yes.

How to create a usable interface for a document library
Yes - he gave info about methods and results

I expected to hear some ideas/experiences about usability and user
interface issues in relation to FirstSearch
It did. It was very intersting to hear from someone who has tested and
done testing of an interface that's so vital to libraries.

3. What did you like best about the workshop? and
4. How could the workshop be improved? and
5. What else would be helpful for us to know?

Was good.
Nothing.
--

Presenter was relaxed, knowledgable.
URLs for the links within PowerPoint slides
Realize that some librarians search like patrons, and vice versa...

"Suggested databases" layout and presentation give me ideas for my
library's webpage design.
Give a more technical viewpoint for librarians only.
Provide more information on use of "My FirstSearch" possibility.

Short and to the point.
--
--

Comments/observation of user behaviors - although some backup/info from
*studies outside OCLC* would ahve been good.
Be the advertised length.
--

Useful summaries of differences between expert (librarian) searchers and
the more casual searcher.
--
MCPL is a very convenient location.

Questions. Humor to deal with technological complexities.
Fine.
More.

Good outline.
More information/examples/"hands-on" examples.
--

Question and answer period.
For speakers with soft and low voices, a microphone.
--

Well prepared.
Examples of comparable search engines, if only form OCLC point of view!
--

The librarian vs end-user comparisons
Would like to see examples of the new interface.
--

Theory behind search development.
--
--

Sample screens
Online demo
I know very little about this specific topic but it was useful and I
feel a bit better prepared.

I really enjoyed the observations about librarians and patrons. They
reinforced / matched many things I have already noticed. A nice
reinforcement of user's perspectives.
--
Keep up the good work!

Hi Gary!

I just got my Visa statement and find the Mallory Hotel charged me $277.45.
I'm writing to make sure they didn't charge your credit card, too?!

Please advise!

Hi Gary!

As near as I can figure from the hotel bill, your Mallory Hotel charges went
onto my Visa 4109-...

So I'll ask Tom Cocklin to write me a check for the $277.75. We'll plan on
deducting that amount from your bill.

If you've got any paperwork that shows the Mallory charged your card, I'll
drive over there and quiz them.

Cheers!

I just sent off a paper to the ACM CUU conference
on Universal Usability.

"The FirstSearch User Interface Architecture:
Universal Access for any User, in many Languages, on any Platform"

The version I sent off is at:
	http://www.acm.org/~perlman/fsmulti.doc
It is not yet for general distribution,
but feel free to point people to it if they
expressed an interest in my talk.

Slightly updated slides are at
